We are looking for a marketing coordinator.

The marketing coordinator supports the Director of Marketing and firm leadership to coordinate, write, design, and deliver qualifications, proposals, presentations, and other collateral and promotional materials used to help the firm win pursuits.

This strategic thinker can learn to articulate KZF Design’s differentiators and accepts and encourages constructive criticism, working collaboratively with colleagues across all levels and is adaptable to changes in the work environment, all while managing competing demands, and is able to deal with changes, delays, and unexpected events, with the ability to maintain positive working relationships with management, staff, and external contacts.

This position will support all of KZF’s business units — education, community design, commercial, mixed-use, civic and public safety, federal government, health and wellness, and cultural — and therefore must have the ability to work under pressure, prioritize assignments, and meet deadlines with a high-level of assertiveness and excellent organizational skills. Additionally, the ability to multitask, prioritize, and work independently as well as in team environments, often under tight deadlines is imperative.

Focused on producing qualifications submittals and assisting with proposals, the marketing coordinator must have a strong visual sense, graphic design experience, and strong proficiency with Adobe Creative Suite; InDesign experience is required. Excellent writing skills, proofreading, formatting, and editing skills with excellent attention to detail and accuracy are also necessary. This person should have a portfolio of work that demonstrates written, verbal, and visual communication skills.

The responsibilities of the Marketing Coordinator include, but are not limited to, the following:
  • Meeting proposal deadlines by establishing priorities and target dates for information gathering, writing, review, and approval; entering and monitoring data; coordinating requirements with contributors; communicating proposal status information at review meetings; desktop publishing; and producing proposals.
  • Assembling and coordinating with subconsultant team members to customize proposal materials.
  • Creating responses to qualifications and ensuring schedules are met for proposals, presentations, and other marketing materials are accurate and delivered in a timely manner and in compliance with RFP requirements.
  • Ensuring quality and compliance of final proposal documents by reviewing materials for spelling, grammar, style, and quality.
  • Tracking and monitoring proposal efforts and activities, ensuring timely delivery. Manage the entire proposal (RFP/RFQ) process.
  • Developing capability statement documents to support opportunities and conversion.
  • Working with technical staff to develop proposal sections and scopes of work.
  • Tracking and researching project opportunities/conduct client research. Document findings in CRM database.
  • Monitoring websites and publications and distribute RFPs and RFQ’s for a go/no-go decision.
  • Providing support for speaking engagements, industry events, presentations, etc.
  • Creating and updating resumes, portfolio pages, presentations and related marketing materials using our design templates as inspiration and working within our brand standards.
  • Providing support on graphic needs for preparation for interviews and graphic communication throughout our proposals and marketing communication pieces.
  • Ensuring all marketing materials effectively communicate the strategic vision identified for a given pursuit.
  • Utilizing CRM database to maintain company and contact information, opportunity tracking, and completed project information and resume information.
  • Supporting marketing and business development activities, from client and opportunity research to pursuit management and proposal development.
  • Maintaining files. Managing updates to marketing data. Participating in CRM database updates.
  • May also perform special projects and other reasonable business-related duties as requested and delegated by the Director of Marketing, Client Development Manager, Chief Strategic Officer, Principals, or the President.

This is a full-time position with an expectation of being in the downtown Cincinnati office multiple days a week, subject to change according to company policy. KZF offers flexibility in setting hours to balance work and personal life.

Required

  • Bachelor’s degree in marketing, communications, journalism, or graphics
  • Minimum 1 to 5 years of relevant experience in marketing
  • Strong editing/writing capabilities for technical and non-technical content
  • Organization skills and the ability to juggle multiple deadlines
  • Ability to work independently
  • High proficiency in Adobe Creative Suite and Microsoft Office
  • Strong graphic design skills

Preferred

  • Experience responding to RFQs/SOQs within the A/E/C industry
